A Day in the Life of a Virtual Assistant

When people hear the words Virtual Assistant, they often wonder, “So what does your day actually look like?” The beauty of this career is that no two days are ever quite the same, but there is a lovely rhythm that flows through my work. Today, I am giving you a little peek behind the scenes of what a typical day looks like for me as a VA.
My day usually starts with a strong cup of coffee (non-negotiable!) and a quick scroll through emails to see if anything urgent has landed overnight. I like to spend the first 20 minutes setting intentions and jotting down my priorities for the day, whether that is scheduling social media posts, preparing client reports, or diving into admin support. I have found that planning out my day in advance makes everything run smoother. One of my top VA tips is to batch similar tasks together. For example, I will dedicate a block of time just for emails and another for content creation. It stops me from feeling scattered and keeps my focus sharp.
The mornings are when I am at my most productive, so I use that time for client-focused work. This might look like:
· Organising inboxes and replying to customer queries
· Scheduling Instagram and Facebook posts
· Preparing invoices and spreadsheets
· Researching new tools or suppliers for clients
For example, one client relies on me to manage their social media calendar. I will create content ideas, schedule posts, and check engagement. It is a task I really enjoy because it blends creativity with organisation, and it saves them hours every week!
Around lunchtime, I step away from the screen. Sometimes it is just 30 minutes with a sandwich and a podcast, other times it is a walk to clear my head. One of the best parts of being a VA is the flexibility. I can fit in personal errands, the school run, or even squeeze in some exercise. Taking a proper break makes such a difference. It means I come back to my desk refreshed and ready to tackle the afternoon.
Afternoons are perfect for bigger projects that need a little more brainpower. This might include:
· Writing blog posts or newsletters
· Setting up systems for clients (like Canva templates)
· Hosting discovery calls with clients
I love this part of the day because it feels collaborative, I get to work with my clients rather than just quietly in the background. Hearing their goals and then helping to make them happen is one of the most rewarding parts of the job.

Before I log off, I like to review my to-do list, tie up any loose ends, and prep for tomorrow. There is nothing better than closing the laptop knowing clients are organised, supported, and ready for a smooth-running day ahead.
Working as a VA means wearing many hats, but that is what makes it so enjoyable. It is varied, flexible, and always full of opportunities to help people succeed.
